RO@M Student Work Deposit Form

Log in to the Student Work Deposit Form with your MacEwan Network ID and password.

The form will require an uploaded file along with the following:

• Student name & email
• Names and emails of any MacEwan student collaborators
• A faculty member's name and email to approve the posting
• Program, and course code, if applicable
• Where the work was presented or featured, if applicable
• A title, date, and brief abstract or description (250 words or less)
• Permission to either:
  • Post the work publicly online.
  • Post the work following a two-year embargo with only the title and abstract made public in the meantime.

Following submission, the faculty member noted in the student deposit will receive an automated email from roam@macewan.ca asking them to approve the posting.

Simply reply to this email indicating approval to post it online or to pass along any questions or concerns.

A wide variety of file types can be deposited, including image, audio and video files. In most cases, written works will be converted to PDF before they are posted.

Using the deposit form, students can upload more than one file affiliated with their work if they wish.

In accordance with the RO@M Terms of Use, students maintain copyright to their works and may request to withdraw their work from public view at any time following deposit. In most cases, metadata describing the work will be retained.

Before depositing works, students will be asked to verify that they hold copyright to the work being posted. If a student wishes to share their work under a Creative Commons License please include this information in the comment box at the bottom of the deposit form or Contact Us.

Digital Object Identifiers (DOIs) are persistent, unique identifiers that help with locating and tracking online documents. They have become a citation standard when referencing works.

DOIs are automatically assigned to undergraduate theses posted to RO@M. To request a DOI for other types of student work not formally published elsewhere, Contact Us.

Students interested in submitting work to the MacEwan University Student eJournal (MUSe) in addition to archiving it in RO@M are welcome to do so.

Typically, submitting a work archived in a repository like RO@M for formal publication is an accepted practice, however, if you have other publishing venues in mind it is always good to double-check their submission guidelines.
